Tour operators, travel management companies and outsourced service centres spend many hours every day on phone calls to confirm bookings, verify payment and virtual credit card (VCC) details, request invoices or clarify last-minute changes. These manual processes tie up staff, cause delays and often lead to check-in errors as well as increased stress for agents and travellers.

Automated hotel calls with AI

DerbySoft’s AI Voice Agent handles these outbound hotel calls fully automatically. The solution verifies booking and payment information, retrieves folio invoices and manages booking changes. At the same time, the AI optimises call timing and flexibly adapts to existing workflows.

Easy integration into existing systems

Technical integration is straightforward via an API. Companies transmit their booking data to DerbySoft, and the results of the calls are fed back in real time. This allows the AI Voice Agent to integrate seamlessly into existing processes, enabling faster resolution, broader coverage and significantly lower costs compared to traditional methods. In addition, a web-based dashboard is available to visually monitor and manage calls and results.

Measurable relief and improved service quality

The use of the AI Voice Agent significantly reduces the workload for service teams and lowers operational costs. At the same time, error rates in bookings and check-ins decrease, while success rates for payment and invoice clarifications improve. The service is available 24/7, designed for multilingual use and fully GDPR-compliant. Additional languages are planned for the first half of 2026.
